The Dyslexia Tutor is a small business managed by Kirsten A Crosby, specialising in diagnostic assessments for dyslexia and other Specific Learning Difficulties (SpLD), access arrangement assessments, and dyslexia and literacy tuition. Your privacy is of utmost importance to The Dyslexia Tutor, and this policy aims to explain how any personal information collected is used.

When you request an assessment or tuition, I need to gather information about you (and/or your child) in order to contact you, book a pre-assessment interview, assessment or tuition session. 

 

In order to complete an assessment and tuition, background information is required to be collected in order to plan and inform the assessment or specialist tuition.  In most cases, it is necessary to get background information from school/college/ university or the workplace.  This information can help ensure that an accurate and robust assessment can be carried out.  The legal basis for holding this information is therefore provided and held by me on the grounds of a legitimate interest.

 

When is data collected?

The Dyslexia Tutor collects personal information when you engage in our services, such as when you book assessments or tuition. This information is obtained with your consent and is necessary for providing the appropriate support and services.

 

When you contact us with a request for an assessment or specialist tuition, we need to collect various types of information from you. This could include biographical details such as your name, date of birth, and information about your school or workplace. Your contact details, including address, email address, and telephone number, and will be collected so we can effectively communicate about the assessment/tuition. Additionally, we may request personal information like the reasons for seeking an assessment or tuition, your educational history, any known learning difficulties or disabilities you have, and details of previous assessments. Furthermore, we may keep records of your learning progress, assessments conducted, and meetings held. Please be assured that we handle all collected information with utmost care and in accordance with our privacy policies.

 

We adhere to the General Data Protection Regulations (GDPR) of May 2018 when processing any personal information. These regulations mandate registration with the Information Commissioner's Office (ICO). The Dyslexia Tutor, represented by Kirsten Crosby, is the registered data controller as per the requirements of the General Data Protection Regulation.

How is your data stored and for how long?

I handle your personal information in full compliance with the General Data Protection Regulation (GDPR). This means that I only use the information that may identify you when there is a legitimate basis for doing so, ensuring fairness and lawfulness in the processing. I have a strict duty of confidence, treating all information with the utmost confidentiality and using it solely for the purpose of providing assessments or support.

Rest assured that your personal data is processed directly by me. I maintain stringent security procedures to ensure the safe storage and disclosure of your information. All computer systems are protected with passwords, and I follow strict protocols to prevent unauthorized access, aligning with the UK data protection legislation.

 

I want to emphasise that I do not sell, rent, or exchange your personal data with any third parties. Your information will not be shared with any external companies for marketing purposes. The contact details you provide are solely used to supply you with relevant information, schedule visits, or send invoices and assessment reports.

 

Regarding data retention, I store your personal information, including your name, address, contact details, questionnaire responses, and assessment reports, for the duration recommended by professional associations such as the British Dyslexia Association and Patoss. After this recommended period, the data will be securely destroyed to ensure its complete confidentiality.

 

To facilitate assessment and report writing, test papers and their associated information, including any written responses and notes, will be securely stored at the business premises. Following a period of six weeks from the assessment date, the test papers and any accompanying information will be securely disposed of either by shredding or permanent deletion. The final report will be stored electronically and safeguarded through password encryption. This storage, protected for a minimum of 6 years, will continue until the assessed individual reaches 24 years of age or longer if required.

 

Who might I share this information with?

I prioritise your privacy and trust. I want to assure you that I do not engage in selling, renting, or exchanging your information with any third parties. Additionally, I will not share your data for marketing purposes with any external companies. The contact details you provide are solely utilised to deliver relevant information, schedule sessions, or send invoices or assessment reports directly to you. Your privacy and trust are highly valued in my practice.

 

Unless you (the person requesting the assessment) have provided written permission, assessments will not be shared with any third party.

Access to your personal information

You have the right to access, modify, delete, or obtain a copy of your personally identifiable data, with some exceptions. You are not required to provide a reason for accessing your data.  Please send a written request to me at info@thedyslexiatutor.co.uk if you would like to access your data. I will respond within 20 working days of receiving your request and all the necessary information.
